A useful fit for

Supported modest color output and one-sided computer capture with separately configured telephone fax.

The main tradeoff

No automatic print or original duplex; PIN-held Secure Print belongs to other specified family models.

Your needs, this model

Does it fit your priorities?

Can MF628Cw provide color Legal output, single-sided Legal computer capture and telephone fax in a supported USB arrangement?

Yes. Native USB printing/scanning supports those normal page routes, with Legal originals in the simplex feeder. Fax requires its own compatible line and receive-mode setup; it is not provided by the USB cable.

Will it automatically print both sides of Letter pages?

No. The actual guide restricts the automatic two-sided output procedure to MF729Cdw and MF726Cdw. MF628Cw uses separately handled manual back-side printing.

Can it hold native print jobs until a matching PIN is entered at the device?

No. The shared panel and secured-job sections explicitly limit Secure Print to MF729Cdw and MF726Cdw. Department ID management is a different feature.

Color documents and telephone fax without automatic duplex

The Canon Color imageCLASS MF628Cw provides color printing, copying, scanning and telephone fax. It suits an earlier supported office setup that handles modest color output and one-sided originals, with a 50-sheet simplex feeder for document stacks.

Its fax function distinguishes it from MF624Cw, but it does not inherit the automatic two-sided printing, duplex original capture or secured-job release of MF729Cdw and MF726Cdw. The exact model scope in the shared guide is essential when assessing those routines.

Fax needs a telephone setup of its own

Configure the receive mode, register the fax number and unit name, and connect the appropriate telephone line as the initial fax procedure directs. The right receive mode depends on how that line is used. A working wireless print connection does not complete these steps.

For a normal send, place the original, choose Fax and reset previous settings before entering the intended destination. Apply the number, choose the scan settings and press the black-and-white Start control. Clearing earlier destinations matters when several people share the machine.

A feeder job sends after scanning finishes. A sequence on the glass instead requires the document size, each additional original and Start Sending at the end. PC fax is a separate sending feature, rather than a promise that incoming analog faxes automatically become computer files.

Choose the original route by size and condition

The glass reaches 8.5 by 11¾ inches, covering Letter and A4. The feeder reaches Legal and holds up to 50 Letter originals at 80 gsm. That quantity is conditional on the original stock, rather than universal for every heavy or unusual document.

Use the glass for suitable books, small items or originals that should not travel through the feeder. The feeder reads one face; two-sided originals need attended handling of the reverse sides and careful file organization. Color scanning can preserve colored annotations even when fax is sent in black and white.

Prepare native computer capture separately from output

USB, Fast Ethernet and infrastructure Wi-Fi support native computer operation. Install the exact UFR II LT and scanner software, including MF Scan Utility, for the supported computer. A family driver list does not establish a different printer language for this model.

Windows LAN capture needs registration in MF Network Scanner Selector and uses IPv4. USB avoids that network registration but the machine must be awake before scanning. These requirements can explain why a computer prints successfully while scanning is not yet prepared.

MF Scan Utility provides a normal capture path, and a compatible application can invoke ScanGear MF. Select the actual glass or Color ADF source, choose the output purpose and size, then scan. Mac software uses its relevant separate driver guide rather than identical Windows controls.

150 sheets are different from a second tray

The drawer holds 150 ordinary sheets at 60–90 gsm, with a separate one-sheet manual slot. Heavy stock lowers the drawer limit to 120 or 100 depending on category, while labels, coated paper and index cards have their own limits. Envelopes are ten in the drawer or one in the manual slot.

Letter, Legal and A4 are supported normal output sizes. Automatic duplex is absent, so printing reverse faces requires a correctly loaded manual back-side routine. The single-sheet slot is useful for occasional alternate stock, but it is not another stack source.

AirPrint, Mopria and Canon PRINT Business offer supported mobile output options. The actual AirPrint guide permits a shared LAN, direct connection or supported USB Mac, with USB requiring OS X 10.9 or later. Application-dependent paper controls do not reproduce every native setting.

Supplies, speed and placement set practical limits

The supplied 131 cartridges are rated for 800 black and 800 composite-color pages. Replacement 131Black is rated for 1,400, or 2,400 with 131HBlack; replacement composite color is 1,500. The guide uses ISO/IEC 19798, A4 and default density. These declarations do not establish live running costs or predict a particular office’s yield.

Canon rates continuous one-sided plain Letter output at up to 14 ppm in either color or black. The 30,000-page maximum monthly duty is not a recommended sustained workload. The closed body measures 17 by 19⅛ by 16⅞ inches and weighs 57.3 lb with toner. Leave further room for Legal paper extension, original access and servicing.

Paper handling

150-sheet drawer at 60–90 gsm plus one-sheet manual slot. Heavy and coated stock have lower quantities; envelopes are 10 in the drawer or one in the slot. No automatic output duplex.

Scanning arrangement

50 Letter originals at 80 gsm in a simplex feeder through Legal. Glass is Letter/A4. MF729/MF726-only two-sided original settings do not apply.

Computer and mobile connections

USB, Fast Ethernet and infrastructure Wi-Fi support native computer capture with its own preparation. AirPrint, Mopria and Canon PRINT Business are listed. Telephone fax is not a Wi-Fi function.

Supplies and declared yields

Supplied 131: 800 black and 800 composite-color pages. Replacement 131 Black: 1,400; 131 H Black: 2,400; composite C/M/Y: 1,500 under ISO/IEC 19798 using A4 and default density. Coverage affects actual yield.
