Your needs, this model
Does it fit your priorities?
Can it combine monochrome Letter printing with Legal two-sided color scanning on Wi-Fi?
The documented infrastructure-network arrangement supports Wi-Fi, monochrome print duplex and Legal color scanning. The original operation guide explicitly names simultaneous duplex scanning for this exact model.
Explore this need in the finder →Does a color scanner mean it can print color handouts?
No. The output engine is monochrome. Color scanning and color printing are separate capabilities.
Explore this need in the finder →Can the documented feeder scan both document sides simultaneously?
Yes. The operation-guide document-processor footnote expressly includes M2540dw in simultaneous duplex scanning, independently of its print-duplex capability.
Explore this need in the finder →Black-and-white output with a genuinely broader scanning role
The Kyocera ECOSYS M2540dw suits an office whose printed documents are monochrome but whose originals may contain color. It prints, copies and faxes in the documented office configuration while providing color scanning. A color scan does not make it a color printer, and a shopper needing color handouts should choose a different output engine.
The useful combination here is standard networking, automatic print duplex and a document feeder with documented automatic two-sided scanning. Begin with those everyday jobs, then check the particular scanner route and connection rather than buying from the printing speed alone.
Two scanner inputs cover different kinds of originals
The original American sheet identifies a 50-sheet Dual Scan Document Processor and specifies duplex scanning rates separately from simplex rates. It also explicitly gives Legal size for both the feeder and scanner glass. That means a Legal original can use either of those two documented scanner inputs.
Use a feeder for a suitable stack of loose originals and the glass when the original should be placed individually. The operation guide explicitly identifies simultaneous duplex scanning for the M2540dw. This supports a single-pass two-sided document routine, independently of the printer's automatic two-sided output.
Wireless is included, but every connection has its own job
Unlike a wired base model needing an optional wireless card, the M2540dw's specification includes Wi-Fi and Wi-Fi Direct alongside Ethernet and the USB computer interface. This gives a small office more installation choices, provided the actual network and computer setup are supported.
AirPrint and Mopria are documented for mobile printing. Use the appropriate local-network arrangement and current app or operating-system requirements. A peer printing connection does not automatically establish every computer-scanning or mobile-protocol combination. The guide separately documents USB computer scanning with compatible drivers, while an SMB folder still needs correct network access and permissions.
A useful standard paper supply with clearly separate expansion
The included arrangement is a 250-sheet drawer and 100-sheet multipurpose tray. The guide limits the stated full multipurpose-tray load to A4/Letter or smaller at its specified stock weight; do not assume the same stack limit for Legal. The 850-sheet maximum depends on additional feeders. Check the specific package or installed drawers before comparing capacities, especially when examining an existing office unit.
The ordinary paper paths and duplex unit are specified through Legal, with their own permitted stock weights. Envelopes have a documented multipurpose-tray routine; that should not be confused with ordinary automatic-duplex paper. A wider range of supported media at one feed does not make every media type suitable for every other path.
Understand what 42ppm and the duty figure actually describe
Kyocera declares up to 42ppm for one-sided Letter output, 34ppm for Legal and 40ppm for A4. Scanner images per minute describe a different activity, and none of these numbers is our own measured complete-job time. Use comparable paper and method conditions when considering alternatives.
The 80,000-page maximum duty cycle is not a published recommended monthly workload in the read sheet. It should not be used to qualify a routine of thousands of pages each month without a positive recommended-volume source. Also check the supplies and maintenance needs of the actual machine instead of treating a long-life-component claim as proof of remaining life.
Make room for the working machine and its controls
The documented body is 18.7×16.2×17.2in and 41.9lb. Allow for opening the feeder and scanner, refilling paper, connecting cables and reaching service areas. The reviewed American configuration uses 120V/60Hz; the sheet lists other-voltage versions separately, so inspect the exact electrical label.
For private desktop jobs, the guide describes a four-digit release code and enabled RAM-disk Job Box; other stored-job functions have separate SD-card conditions. A five-line LCD and physical keys provide the control interface, rather than a large touchscreen. Decide whether those controls suit the people handling everyday copies and scans. Choose this model for its documented monochrome, color-scanning and included-networking combination, then check present software, the actual paper package and the scanner routine that matters most.

Paper, software and setup details
Print-rate conditions
Maker-declared one-sided rates: 42 ppm Letter, 34 ppm Legal, 40 ppm A4. Scanner ipm and duplex-print rates are different measurements.
Paper handling
Included 250-sheet cassette plus 100-sheet multipurpose tray under the stated A4/Letter-or-smaller 80 gsm condition. For Legal, the minimum-capacity check uses the positively documented 250-sheet cassette; the MP Legal loading limit is not established here. The 850-sheet maximum requires optional feeders.
Scanning arrangement
Color scanning with a 50-sheet feeder. The exact operation-guide footnote explicitly identifies simultaneous duplex scanning for M2540dw; both the feeder and glass support Legal. Compatible USB, Ethernet and infrastructure Wi-Fi computer-scanning interfaces are documented.
Computer and mobile connections
Standard USB computer, Ethernet, infrastructure Wi-Fi and Wi-Fi Direct are listed. Compatible computer scanning is documented for USB/Ethernet/infrastructure Wi-Fi; peer-only scanning and peer mobile-protocol combinations are not established here.
Supplies and declared yields
The read material describes separate toner and long-life imaging components. Exact regional replacement identity, supplied yield and current running cost are not established here.
Software and support
Compatible desktop-driver Private Print uses a four-digit code and enabled RAM-disk Job Box. Other stored-job routines have separate SD-card conditions. Use the documented local-network AirPrint/Mopria setup and verify present computer/app requirements.
Electrical edition and setup
Reviewed 120 V/60 Hz configuration, distinct from 220–240 V versions. Machine body 18.7 × 16.2 × 17.2 in/41.9 lb excludes operating clearance. Five-line LCD with hard keys.
