WorkCentre 4265/SIllustrated overview
A useful fit for

A wired office digitizing two-sided Legal paperwork and producing sustained monochrome documents with passcode release.

The main tradeoff

S requires added equipment for fax or Wi-Fi, and its 620-sheet base differs from the larger XF configuration.

Your needs, this model

Does it fit your priorities?

Can Ethernet support monochrome Legal duplex printing, color Legal glass and single-pass feeder scans, PIN release and 20,000-page months?

Yes with compatible drivers and a configured network scanning destination or supported remote scan application. The original documents explicitly identify the dual-head single-pass feeder and Legal glass. The included ordinary-paper input is 620 sheets at 75 gsm and recommended monthly output reaches 25,000. S does not include fax.

Can an Apple device use native AirPrint while the printer is connected by Ethernet?

Yes on the supported shared-network arrangement. The administrator can use the printer's wired interface; HTTP, IPP and Bonjour/mDNS must remain enabled, and device discovery must work on the relevant subnet. This does not establish included Wi-Fi hardware or every advanced paper and secure-release option in the mobile print dialog.

Does the basic 4265/S include the normal fax function required by an all-in-one print, scan, copy and fax routine?

No. The S configuration needs the optional fax kit and the required phone service. X and XF include fax and are separate packages. Server fax has its own enablement; neither generic security features nor a scan destination supplies an included fax path.

A single-pass scanner for Legal paperwork

The Xerox WorkCentre 4265/S fits a wired office that prints monochrome documents and needs to digitize suitable two-sided originals in color. Its 100-sheet feeder uses two scan heads for single-pass duplex capture. A full Legal-size glass also accommodates longer pages that should remain stationary.

The S package is worth identifying carefully. It includes print, copy and scan functions, while fax and Wi-Fi require added equipment. Its normal input capacity is 620 sheets, rather than the larger paper and finishing arrangement supplied with XF.

The US manufacturer shop marks WorkCentre 4265 discontinued. Treat this as an earlier model reference, and check the exact North American electrical edition, installed options, service condition and software compatibility of an individual machine.

Choose a scan route around the original

Single-pass capture is useful when a batch contains writing on both sides: the original does not need a second physical pass through a reversing feeder to expose its other side. Xerox declares up to 55 simplex or 70 duplex images per minute for color and monochrome scanning. These are source figures, not measured results.

The guide gives duplex originals a narrower minimum size than one-sided originals. Letter, Legal and A4 fit both documented ranges. Use suitable loose, dry pages within the stated weight limits, remove clips and staples, load face up with the first page on top and set the guides against the stack.

The glass provides a different route for an original unsuitable for transport. Its documented Legal input size should not be read as borderless capture: the detailed scan specification separately lists a slightly narrower maximum image area. Check important edge content in the saved file.

Configure the destination before a longer batch

Ethernet scanning supports network destinations, including a shared folder on a computer, and supported network scan applications. Creating a print queue does not create that destination or its permissions.

For a shared-folder workflow, prepare the folder and the address or template pointing to it. At the printer choose Workflow Scanning, select the template and confirm image settings before starting. A compatible TWAIN routine can initiate capture from a computer when the administrator has enabled the required remote-start setting.

The direct USB computer connection is documented for printing. Scanning onto a portable USB storage device is another function, rather than proof of direct scanning into a USB-connected computer. An office depending on computer scans should plan around the established network path.

The base paper arrangement has two different roles

The S includes a 520-sheet main tray and a 100-sheet bypass, totaling 620 ordinary sheets at 20 lb, 75 gsm. Their documented size ranges accommodate Letter, Legal and A4. Automatic duplex is independently confirmed for those sizes on supported stock.

The main tray can hold the regular office paper while the bypass provides a separate feed routine. Envelopes require their own loading orientation, driver type and panel settings; the ordinary-paper capacity is not an envelope count. The guide distinguishes long-edge-flap bypass envelopes from a different short-edge-flap arrangement.

XF adds a second drawer, a 2,100-sheet feeder and finishing equipment. Those additions substantially change working space and capacity. Compare the installed machine with its actual configuration rather than counting every tray visible in a family illustration as standard S equipment.

AirPrint and confidential release are separate decisions

Native AirPrint can work with the printer's included Ethernet interface on a suitable office network. The administrator guide requires the relevant HTTP, IPP and Bonjour discovery protocols and explains the network discovery conditions. Built-in Wi-Fi is not necessary for that wired-printer arrangement.

The optional wireless kit and optional Wireless Print Solutions Adapter should still be distinguished. Mopria appears in the latter package in the reviewed specification; it is not recorded here as included native support. Historical mobile applications and cloud-service names also need their own availability checks.

For sensitive computer jobs, Secure Print associates a passcode with the submission and holds it for release at the panel. Personal Print does not require that passcode. A user-name folder or a Confidential watermark should therefore not be treated as equivalent protection.

Plan the workload and consumables separately

Xerox declares up to 55 one-sided Letter pages per minute, 53 A4 or 45 Legal. Duplex output has separate lower figures. Recommended regular monthly output reaches 25,000 pages; the 250,000-page duty maximum serves a different purpose and should not become an ordinary workload target.

The original US starter toner is declared at 10,000 pages. Standard, high-capacity and extra-high replacement toner have distinct part numbers and declared yields. The drum, fuser, transfer roll and feed rollers are separate maintenance items with different life conditions.

If fax is essential, an appropriately equipped X or another confirmed fax package is the clearer comparison. If scanning is occasional, a smaller monochrome multifunction model may be easier to place. The 4265/S's stronger reason for consideration is the combination of Legal glass access, explicitly single-pass duplex capture and an established wired filing routine.

Paper, software and setup details

Print-rate conditions

Declared one-sided monochrome output is up to 55 Letter, 53 A4 or 45 Legal pages/min; automatic-duplex output is separately 50 Letter, 48 A4 or 40 Legal. Color and monochrome scanning is declared at up to 55 simplex or 70 duplex images/min, a different measure. Recommended regular monthly throughput reaches 25,000 pages; the 250,000 duty figure is a separate maximum. Print resolution is labeled enhanced image quality; scanner optical 600 dpi is distinct from enhanced 4800 dpi. No measured speed, image quality or reliability claim.

Paper handling

The exact S includes a 520-sheet main tray and 100-sheet bypass, totaling 620 ordinary sheets at 20 lb, 75 gsm. Both documented paths include Letter, Legal and A4, independently confirmed in the guide. Automatic duplex supports those sizes on the specified lightweight, recycled, plain, letterhead, punched or preprinted stock; weight limits vary by type. The XF adds another 520-sheet drawer, 2,100-sheet feeder and finisher for 3,240, which are not included S capacity. Envelopes use a separate one-sided routine in a 520-sheet tray or bypass. For the main tray remove ordinary paper, load supported envelopes flaps closed and down toward the rear, adjust guides, then confirm panel size/type/color. For long-edge-flap envelopes in the bypass, feed short edge first, flaps up and right; the guide gives a separate closed-leading-flap arrangement for adhesive short-edge flaps. Select Envelope in the driver and avoid padded, windowed, clasped, heat-activated or press-and-seal envelopes. Ordinary sheet capacity is not an envelope count.

Scanning arrangement

The original explicitly documents a 100-sheet single-pass, dual-head automatic duplex feeder. Letter, Legal and A4 fit the guide's narrower duplex-original range of 176 x 250 to 216 x 356 mm, with 50–105 gsm stock; simplex accepts 145 x 145 mm minimum. The glass accepts 216 x 356 mm Legal originals and also Letter/A4. The detailed scan table separately gives a maximum captured image area of 212 x 356 mm, so paper-size support is not borderless edge capture. Use glass for unsuitable or bound originals, face down at the upper-left registration; do not put clipped, stapled or unsuitable pages through the feeder. Load dry loose originals face up, first page on top and top edge entering first, and set guides below MAX. Color scanning is supported even though printing is monochrome.

Computer and mobile connections

Included Gigabit Ethernet and USB2 computer printing. Network scanning supports configured SMB shared folders and other documented destinations, plus network TWAIN/WIA applications. Create a reachable shared folder with appropriate access and an address/template pointing to it. At Services Home choose Workflow Scanning, select the template, set color, original sides and file choices, then Start. The compatible TWAIN remote scan routine additionally requires Remote Start enabled by the administrator. The USB computer-scanning path remains unestablished; scanning to a portable USB storage device is separate. Wi-Fi needs the optional 097N02156 kit. Native AirPrint can use the included wired printer interface with a suitable shared network: HTTP, IPP and Bonjour/mDNS must be enabled, with compatible discovery across the relevant subnet. Mopria appears in the optional Wireless Print Solutions Adapter package and is not recorded as included native support.

Supplies and declared yields

The US original box includes toner declared at 10,000 pages and a separate drum. US replacements are standard toner 106R03104 at approximately 10,000, high-capacity 106R02734 at 25,000 and extra-high 106R03102 at 50,000 under ISO/IEC 19752 and coverage/print-mode conditions. Drum 113R00776 is approximately 100,000; 110 V fuser kit 115R00086 and feed-roll kit 108R01267 are approximately 250,000, while transfer-roll kit 108R01266 is 125,000, under distinct media and usage conditions. European 106R02733/30,000 starter claims are not the US package. A toner change does not reset all maintenance components. No current supply-price or cost-per-page claim.

Software and support

Secure Print uses a 4–10 digit passcode entered in the supported computer driver under Printing Options and Job Type. At the control panel choose Job Status, Personal & Secure Jobs, the job folder, enter the code, select the job and Print. Personal Print stores under the user name without a passcode and is not confidential PIN release. Standard hard drive capacity is 320 GB. Card authentication, accounting and optional third-party software have separate setup conditions. Historical drivers, apps and cloud services do not establish present compatibility or availability; native AirPrint is described separately from retired-service listings.

Electrical edition and setup

The US detailed specification explicitly defines the North American 110–127 VAC edition separately from the European 220–247 VAC edition; check the actual rating label. S has print, copy and scan. Embedded fax is optional on S and requires the added kit and analog phone line; server fax requires its separate enablement. X and XF include fax and are different bundles. The US maker shop positively marks WorkCentre 4265 discontinued. Unpackaged S body is 24.5 x 20.1 x 24.6 inches and 93.3 lb, distinct from X at 93.6, XF at 203.6 and the S carton at 112.04. Allow open glass, feeder, bypass, drawers, service doors, cables and ventilation.
